Administrative Assistant - DEI
Foley Hoag is seeking a highly organized and detail-oriented Administrative Assistant to join our Diversity, Equity, and Inclusion (DEI) team in our Boston office. This role involves providing essential support across a wide range of DEI programs and initiatives, including coordinating meetings and events, managing schedules, preparing materials, and handling day-to-day administrative operations with accuracy. The ideal candidate will be a motivated self-starter who notices the details, follows through, and exercises sound judgment.
Key responsibilities include organizing meetings by scheduling, sending reminders, arranging catering when necessary, securing room reservations, and coordinating A/V support. The Administrative Assistant will create and manage slideshows, record minutes for DEI team meetings, and oversee the processing of paperwork related to external DEI sponsorships, training, and conferences. Additional duties involve ordering supplies and branded materials, processing event and travel expenses, maintaining records, preparing reports by collecting and analyzing information, managing the Director’s calendar, and maintaining and updating internal site information for the DEI team.
The position requires at least one year of administrative experience in a law firm or professional services environment. Strong organizational skills, superb attention to detail, and the ability to manage and prioritize multiple projects effectively are essential. Proficiency in Microsoft Office (Word, Excel, PowerPoint) and experience with design tools such as Canva are preferred. Excellent oral and written communication skills, strong interpersonal skills, and the ability to interact effectively with personnel at all levels of the firm are also required. A bachelor’s degree is preferred, though equivalent professional work experience will be considered.
This hybrid role requires in-office presence in our Boston office at least three days per week to foster collaboration and connection. Onsite expectations and specific days may evolve depending on team and business needs. Compensation ranges from $67,600 to $72,100, commensurate with related experience and qualifications. The salary of the selected candidate will be set based on various factors, including internal equity, experience, specialty, and training.
