Collections Specialist
Xometry is seeking an experienced Collections Specialist to join our Finance team. In this role, you will be responsible for managing the accounts receivable process, ensuring timely collection of outstanding invoices, and maintaining positive relationships with our valued customers. As a Collections Specialist, you will play a crucial role in supporting Xometry's financial health and growth.
Key responsibilities include effectively monitoring and maintaining assigned accounts, handling customer phone calls and reconciliations, leading the debt collection process for assigned customers, and reconciling accounts when necessary to collect open balances. You will also be responsible for keeping detailed notes and records of all communications and actions, working with sales and other departments to ensure invoices are paid, and notifying sales when accounts are past due or being placed with a collection agency. Additionally, you will work with coworkers to set debt collection strategies, answer customer questions about billing statements or open invoices, keep track of payment due dates and send reminders, update account statuses when debts have been paid, investigate billing errors and disputes, and follow up with customers. Maintaining confidentiality and the utmost discretion is essential, as is timely escalation of relevant issues and/or negotiation of payment plans based on the department’s processes and procedures and/or consultation with the supervisor as applicable.
The ideal candidate will have a minimum of 2 years of collections experience and the ability to work within a fast-paced, goal-oriented collections department. This includes placing a high volume of phone calls to delinquent clients based on contract terms and follow-up emails. Excellent organizational skills are required, including timely input into the system of brief, accurate, detailed, and relevant notes of conversations and other correspondence, as well as timely follow-up on action items. Strong verbal and written communication and follow-up skills are essential, along with proficiency in Word, Excel, and Salesforce/CRM. The ability to multitask, make independent decisions, and establish good rapport with clients, sales, and other departments is crucial. Flexibility to work evenings or weekends as business requires is also necessary.
