Conflicts and AML Coordinator
As a Conflicts and AML Coordinator at Gilbert + Tobin, you will play a pivotal role in the firm's compliance and new business intake functions. This position involves supporting conflicts, anti-money laundering (AML), and matter opening processes to ensure that the firm undertakes work efficiently and in accordance with both regulatory and internal requirements. You will collaborate closely with the General Counsel team, partners, lawyers, executive assistants, and various business services teams to coordinate checks, manage data, and facilitate smooth operational processes.
Your primary responsibilities will include maintaining the conflicts and AML database to ensure records are accurate and complete, aligning data across systems such as 3E. You will triage conflicts requests, coordinate information gathering, and support the timely progression of checks and approvals. Monitoring workflows and facilitating seamless handovers across conflicts, AML, and matter opening processes will be key aspects of your role. Additionally, you will identify and resolve data inconsistencies, support reporting and system improvements, and act as a central coordination point across various teams, escalating issues as necessary.
The ideal candidate will have experience in coordination, compliance, risk, conflicts, legal operations, matter intake, or similar roles, preferably within a professional services environment. Strong attention to detail, organizational skills, and the ability to manage competing priorities are essential. Effective communication skills are crucial, as you will interact with lawyers, executive assistants, and operational teams. Sound judgment, proficiency with databases and workflow tools, and the ability to handle confidential information with care are also important attributes.
