The Project Administrator at CannonDesign plays a pivotal role in supporting project teams by managing administrative tasks essential for project success. This position is based in Rochester, Minnesota, and involves both office work and potential client and on-site visits as required.

In this role, the Project Administrator coordinates with internal and external team members to gather project updates, deliverables, and weekly recaps, preparing weekly project status emails. They organize and set up onsite client meetings, assist in report generation, support project proposals and contracting efforts, and prepare project team memos and presentations. Additional responsibilities include taking and transcribing project meeting notes, reviewing and responding to consultant statements, assisting in the development of fees during proposals, and managing project expenses for billing. The role also involves maintaining project files according to firm standards and may include other marketing-related tasks when requested.

Candidates should possess a high school diploma, with an associate’s degree preferred, and have a minimum of four years of experience in related roles, ideally within the architecture, engineering, or interior design industry. Strong verbal and written communication skills, presentation abilities, and proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) are essential. Experience with InDesign, Procore, Newforma software, and video and audio meeting technologies is advantageous. Candidates should also have experience with MS Project schedule development and be able to handle multiple projects to meet deadlines with accuracy and attention to detail.
