Personal Executive Virtual Assistant (Admin, Outreach & Music Industry Support)
Assist World is seeking a Personal Executive Virtual Assistant to provide dedicated administrative and operational support to a founder engaged in music, creative projects, and business administration. This role focuses solely on assisting the founder by streamlining administrative tasks, managing outreach, coordinating communications, and reducing daily workload. The ideal candidate is highly trustworthy, proactive, possesses strong written communication skills, and is comfortable acting on behalf of the client in professional outreach and correspondence.
Key responsibilities include managing inboxes and written communications, drafting and editing emails and messages, assisting with scheduling and calendar coordination, and supporting day-to-day administrative tasks as priorities shift. The assistant will also conduct cold outreach via email and online platforms (excluding cold calling), research and identify relevant venues, promoters, industry contacts, and potential collaborators, initiate outreach using the client’s accounts, and track outreach activity and responses. Additionally, the role involves researching people, companies, and opportunities within the music and creative industry, compiling findings into actionable summaries, identifying and organizing contact lists for follow-up, assisting with basic invoicing and financial administration, working confidently within spreadsheets, navigating and updating records in Xero (preferred but not required), and supporting financial organization without full bookkeeping responsibility. Workflow and collaboration tasks include communicating via Slack, tracking tasks and projects in Asana, and maintaining clear documentation and task status updates.
The ideal candidate has 3–4+ years of experience as an Executive Assistant, Personal Assistant, or Administrative Virtual Assistant. Strong written communication and copy skills are essential, along with being highly organized, proactive, and detail-oriented. The candidate should be comfortable acting on behalf of the client with professionalism and discretion, trustworthy with access to accounts, passwords, and sensitive information, and able to work independently while integrating deeply into the client’s workflow. Required or strongly preferred tools and software include Google Workspace (Docs, Gmail, Calendar, Sheets) and proficiency in Google Sheets or Excel. Experience with Xero, Slack, and Asana is nice to have but not mandatory.
This part-time position requires 20 hours per week, with preferred coverage during UK afternoon hours. The schedule is flexible, allowing for overlap with UK time or work while the client is offline, provided there is reliability and consistency. Compensation ranges from $700 to $800 per month.
