Licensing and Legal Compliance Administrator
The Licensing and Legal Compliance Administrator at EquipmentShare plays a pivotal role in ensuring that all company subsidiaries, branch locations, and operational entities across the United States maintain the necessary local, state, and federal licenses, permits, and certifications required for legal operation. This position is based at the Corporate Headquarters in Columbia, Missouri, and is eligible for a hybrid work arrangement. The administrator will collaborate closely with various internal teams, including Operations, Fleet Safety, and Real Estate Compliance, to uphold the company's commitment to legal and regulatory compliance.
In this role, the administrator will be responsible for maintaining a comprehensive database of all operational, corporate, and equipment-related licenses, such as state registrations, Certificates of Good Standing, on-road vehicle registrations, hazardous materials transport licenses, and DOT and FMCSA authority. They will monitor renewal dates to ensure all required licenses are renewed and in good standing before expiration. The administrator will also liaise with local, state, and federal agencies to ensure compliance with applicable laws and regulations, support internal and external audits by maintaining accurate and accessible records of all licensing documents, and develop and maintain standard operating procedures for license management, renewal processes, and compliance reporting.
Candidates should possess a strong working knowledge of federal, state, and local licensing and regulatory requirements, particularly for transportation, construction, logistics, and brick-and-mortar business operations. Proficiency with multiple technology platforms and business tools, including Microsoft Office Suite, Google Workspace, Adobe, DocuSign, and compliance or contract management software, is essential. Excellent organizational and documentation skills with exceptional attention to detail, a high level of professionalism, integrity, and discretion in handling sensitive information, and the ability to think critically and apply that knowledge to decision-making are required. A minimum of 2 years of experience in business licensing compliance administration or regulatory operations with a nationwide organization is preferred, along with a bachelor's degree in Business Administration, Legal Studies, or a related field.
