The Lead Legal Records Associate at SPS-North America is responsible for managing, organizing, and maintaining case files and related records to ensure accuracy, accessibility, and compliance with firm standards. This role involves supervising daily filing activities, supporting staff with records requests, and assisting with administrative tasks that contribute to the efficient operation of the office.

Key responsibilities include opening and setting up new case files, accurately indexing and organizing documents for easy retrieval, scanning and uploading records to the firm's electronic database system, maintaining file rooms and cabinets in an orderly manner, and assisting attorneys and staff with locating and retrieving file materials. Additional duties encompass preparing case files for closing and off-site storage, covering receptionist duties when needed, training and mentoring interns or student assistants, handling the secure disposal of sensitive documents, assisting with trial binder and exhibit preparation, supporting paralegals in obtaining records from external sources, and aiding with mail room operations as required.

The ideal candidate will possess a high school diploma (college degree preferred), strong attention to detail and organizational skills, the ability to multitask and prioritize tasks, excellent communication skills for collaborating with attorneys, staff, and external vendors, proficiency with computer systems and electronic database management, and accurate keyboarding and data entry skills. Physical requirements include the ability to lift and carry case files or boxes up to 25–30 lbs, regular walking, bending, and reaching for file storage, frequent filing, scanning, and data entry tasks, and periods of sitting while organizing and reviewing documents.
