In this role, the assistant will be responsible for managing documents by requesting and securing police reports and medical records essential for case preparations. They will coordinate communication by preparing and sending standardized correspondence and claims letters. The assistant will execute routine pre-litigation tasks using Litify task workflows, ensuring timely progression of each file. Additionally, they will proofread and verify AI-generated documents for accuracy before distribution and handle prospective client calls, converting inquiries into signed agreements when necessary. Regular communication with in-house paralegals and participation in task-focused pod meetings are also key aspects of this role. The assistant will utilize AI tools like EVE to enhance document processes and reduce manual involvement.

Ideal candidates should demonstrate precision and process execution, with a proven ability to follow structured, repetitive tasks with high accuracy and attention to detail. An autonomous and proactive work style is essential, as the role requires working independently with minimal supervision and self-motivation to overcome challenges. Clear communication skills, both verbal and written, are necessary for effective interaction with clients and team members. Technical proficiency, including familiarity with Litify or a willingness to learn, as well as competency in Adobe and email communication tools, is required. Bilingual candidates, particularly those fluent in Spanish, are strongly preferred to serve a diverse client base and enhance intake coverage. Experience in phone sales or legal intake, with proficiency in closing deals via digital tools, is also advantageous.
