Event Specialist
The Event Specialist at McDermott Will & Emery is responsible for planning and executing small to mid-size firm-wide client events, including receptions, dinners, and short-format programs. This role involves managing the full event lifecycle—from venue sourcing and budget development to onsite coordination—ensuring each event delivers a high-quality experience for both internal and external stakeholders. The position operates under minimal supervision, relying on experience, judgment, and organizational skills to accomplish goals.
Key responsibilities include coordinating event logistics such as venue selection, budget creation and oversight, vendor coordination, food and beverage selections, audiovisual needs, and creative/branding requirements. The Event Specialist also tracks event expenses to ensure adherence to financial guidelines, leads planning calls with internal teams to keep stakeholders aligned and on schedule, and prepares post-event analysis and reports, including attendance metrics, feedback, and recommendations for improvement. Additionally, the role involves interfacing with senior executives and VIP attendees, providing excellent customer service and professional representation of the firm.
Candidates should possess a bachelor's degree and at least three years of prior event planning experience, with a proven ability to plan and execute high-end events. Proficiency in Microsoft Office Suite (Excel, Outlook, PowerPoint, and Word) is required, along with strong written and verbal communication and interpersonal skills. Strong organizational and multitasking abilities are essential, as is the capacity to work independently and under one's own direction and initiative.
