Calendar Clerk / Receptionist
The Calendar Clerk/Receptionist position at Crisp Recruit is designed to alleviate administrative burdens from paralegals and legal assistants, enabling them to concentrate on attorney-specific tasks. This role is integral to the firm's workflow, ensuring that all legal deadlines are met with precision and supporting the firm's commitment to diligent and ethical legal practice. The position is full-time and onsite, operating Monday through Friday, approximately 9:00 a.m. to 5:00 p.m.
Key responsibilities include accurately maintaining the firm's legal calendar by entering and updating all trial, deposition, and filing dates. The role also involves conducting regular case-by-case status checks with the courts, comparing court information against the firm's internal calendar, identifying new or changed dates, and promptly correcting discrepancies. Engaging with attorneys twice daily to capture new dates, changes, and immediate needs is essential. Additionally, the position requires applying knowledge of California state and federal court rules to accurately calculate litigation deadlines, including adjustments for weekends, court holidays, and closure dates. Providing shared phone coverage and assisting with front-office responsibilities as needed are also part of the role. The Calendar Clerk/Receptionist will assist with general office duties, supporting attorneys and staff as capacity allows, and utilize Microsoft 365 while contributing to the incorporation of AI tools for improved workflow efficiency.
Candidates should have experience with court calendaring in a law firm environment and a solid understanding of California and federal court rules. The ability to manage multiple tasks and prioritize deadlines effectively is crucial. Strong, proactive communication skills and comfort engaging directly with attorneys are necessary. Proficiency in Microsoft 365 applications, with an openness to leveraging AI tools for task management, is expected. Prior experience in a law firm, understanding attorney work styles and the importance of deadlines, is advantageous. Meticulous attention to detail to ensure accuracy in all calendaring and communication tasks is essential.
Compensation for this role ranges from $40.87 to $48.08 per hour, depending on experience and qualifications. The firm offers comprehensive benefits, including 100% coverage of dental and vision insurance, a $550 per month contribution toward health insurance, a 401(k) plan with employer matching, paid time off, complimentary office lunches each week, and reasonable flexibility for personal appointments and family obligations.
